Membership Committee Information

  1. Purpose: The Membership Committee is a standing committee of the Society of Georgia Archivists. The Committee shall work on programs to recruit and retain members, develop membership benefits, prepare a membership brochure, review procedures for the collection of annual dues, prepare and distribute a membership directory, and assist the Administrative Assistant on special projects.
  2. Composition and Membership:
    1. The Vice-President serves as Chair of the Membership Committee.
    2. The Committee is administered by the Chair and composed of at least two additional members, appointed by the President, with the advice and consent of the Executive Board.
    3. The members shall be appointed for one-year terms. 
  3. Reporting Procedure:  The Chair reports directly to the Executive Board. 
  4. Responsibilities: 
    1. Actively promotes membership in the Society of Georgia Archivists by developing and carrying out membership drives. 
    2. Oversees publishing of a membership directory each year. 
    3. Oversees maintenance of the SGA membership brochure and insure that the membership application that is posted on SGA website. 
    4. Contacts members whose dues are in arrears to encourage their continued membership in SGA. 
    5. Works with the Annual Meeting Committee and the Administrative Assistant to help plan and carry out an annual membership renewal drive at the Annual Meeting. 
  5. Procedures
    1. By March 1, prepares and distributes membership directory to all SGA members. Obtains latest membership information from the Administrative Assistant at the end of January. Laysout and designs contents of directory and coordinate printing and distribution of the directory. 
    2. Produces or revises the SGA membership brochure as needed. Consults with President and other Board members to determine the quantity to print. 
    3. Develops new member welcome packages to introduce new members to the benefits and opportunities for participation in SGA. The names and addresses of new members will be forwarded to the Membership Chair by the Administrative Assistant on an ongoing basis. The packet should include a letter from the Membership Chair, latest issue of the SGA Newsletter, and SGA membership directory. 
    4. In conjunction with the Annual Meeting Committee, reserves a table in the SGA annual meeting registration area. As participants register, encourages them to renew their membership and if possible make appropriate announcements at the meeting to encourage renewal of membership dues. If needed, assists the Administrative Assistant in placing membership renewal forms in meeting packets and assist in mailing the renewal notices to members that did not attend the meeting. 
    5. Promotes membership of new members at the Georgia Archives Institute, Society of American Archivists annual meetings, and other meetings and events when possible.

Timetable 

Note: Dates each year will need to be adjusted based on newsletter deadlines, annual meeting date, events like SAA annual meeting or postal holidays, Executive Board meeting dates, and schedules of individual committee members. 

February
1 Deadline for current year membership renewals to be included in membership directory.
10 Obtain list of SGA members (in electronic format) from the Administrative Assistant. Also obtain set of mailing labels.
11-28 Prepare layout of membership directory and coordinate printing.
March
1 Mail membership directory to current members.
May
Contact coordinator of the Georgia Archives Institute to schedule a time that the Membership Committee can promote SGA to participants. 
June
Membership Committee member (or designee) presents information about SGA at Georgia Archives Institute. Distributes membership brochures, newsletters, etc.
Summer
Contact Chair of the SGA Annual Meeting Committee to reserve a table in the registration area of the meeting.
Schedule time slot for SGA table at the Society of American Archivists annual meeting.
August
Coordinate staffing of SGA table at the Society of American Archivists annual meeting.
October
Contact Administrative Assistant (admin@soga.org) to coordinate membership renewal process at SGA annual meeting (i.e. to place renewal forms in meeting packets). 
Recruit and schedule volunteers from the Membership Committee to work membership table at annual meeting.
November
At the SGA annual meeting, staff membership renewal table, make announcements encouraging participants to renew or join, and assist Administrative Assistant in mailing out notices to those who did not attend. 
Chair will give annual report at Annual Business meeting.
December
Membership Committee Chair consults with Treasurer to determine the Committee’s budget for next fiscal year.
