Nominating Committee Timetable

Note: Dates each year will need to be adjusted based on newsletter deadlines, annual meeting date, events like SAA annual meeting or postal holidays, Executive Board meeting dates, and schedules of individual committee members.

Prior to spring and/or summer newsletters
Chair sends newsletter editor news note including offices to be filled and names/addresses/phones/FAX/e-mail of Nominating Committee members.
June
--Chair contacts Nominating Committee members, sends Guidelines for the Nominating Committee, tentative timetable.
1Information regarding the solicitation of nominations should be included in Summer (Issue 2) SGA newsletter, SGA listserve, and website.
July
1Chair verifies membership list with Administrative Assistant and shares any updates with committee members.
August
1Committee members begin to consult, compile list of possible candidates, match nominees with offices.
2Committee members begin contacting nominees, consulting as nominations are accepted/declined.
19Committee finalized full slate
22Chair reports to Executive Board
22Chair mails memo to all candidates requesting bio info and including sample bio statement.
September
2Candidate bios due to chair.
--Administrative Assistant prepares labels for ballot mailing.
16Chair finalizes ballot text and completes copying ballots.
26Last date for ballots to be mailed to members.
October
20Returned ballots must be postmarked to be counted.
25Chair and SGA member count ballots.
25Chair begins contacting candidates re outcome of the election for the office for which each was nominated.
26Chair completes contacting candidates.
November-December
SGAChair announces election results at annual business meeting.
15Article regarding newly elected officers is submitted for inclusion in the Winter (Issue 4) SGA Newsletter
--Chairs writes follow-up letters to all candidates.
